Data processing by the administrator
In connection with its business activity, the Administrator collects and processes personal data in accordance with the relevant regulations. The administrator ensures transparency of data processing. The administrator makes sure that the data is collected only to the extent necessary for the indicated purpose and processed only for the period in which it is necessary. When processing data, the Administrator ensures their security and confidentiality as well as access to information about this processing for data subjects. In the event that, despite the security measures in place, there is a breach of personal data protection (e.g. data leakage or loss), the Administrator informs the data subjects about such an event in a manner consistent with the regulations.

Security of personal data
In order to ensure the integrity and confidentiality of data, the Administrator has implemented procedures that allow access to personal data only to authorized persons and only to the extent that it is necessary due to the tasks they perform. The administrator uses organizational and technical solutions to ensure that all operations on personal data are registered and performed only by authorized persons.
The Administrator also takes all necessary actions to ensure that its subcontractors and other cooperating entities guarantee the application of appropriate security measures whenever they process personal data at the request of the Administrator.
Purposes and legal grounds for the processing of personal data by the administrator
E-mail and traditional correspondence
In the case of sending e-mail correspondence or traditional correspondence to the Administrator, not related to the services provided to the sender or any other contract concluded with him, personal data contained in this correspondence are processed only for the purpose of communication and settling the matter to which the correspondence concerned.
The legal basis for processing is the legitimate interest of the Administrator, consisting in conducting correspondence addressed to him in connection with his business activity. The administrator processes only personal data relevant to the case to which the correspondence relates. All correspondence is stored in a manner that ensures the security of the personal data and other information contained therein and is disclosed only to authorized persons.
Telephone contact
If you contact the Administrator by phone, in matters not related to the concluded contract or the services provided, we may request personal data when it is necessary to handle the matter to which the contact relates.
Telephone conversations can also be recorded. Calls are recorded in order to verify the quality of the service provided and the work of consultants, as well as for statistical purposes. The recordings are available to the Administrator’s employees.
Personal data in the form of a call recording are processed:
- for purposes related to customer service;
- to monitor the quality of service and verify the work of employees
Collecting data in connection with the provision of services or the performance of other contracts
In the event of collecting data for purposes related to the performance of a specific contract, the Administrator provides the data subject with detailed information on the processing of his personal data at the time of concluding the contract.
Data collection in other cases
In connection with the conducted activity, the Administrator also collects personal data in other cases – e.g. during business meetings, industry events or by exchanging business cards – for purposes related to establishing and maintaining business contacts. Personal data collected in such cases are processed only for the purpose for which they were collected, and the Administrator ensures their adequate protection.
Data recipients
In connection with the conduct of activities requiring the processing of personal data, they may be disclosed to external entities, including, in particular, suppliers responsible for the operation of IT systems, entities providing legal or accounting services, couriers, marketing or recruitment agencies.
The Administrator reserves the right to disclose selected information concerning the data subject to competent authorities or third parties who submit a request for such information, based on an appropriate legal basis and in accordance with the provisions of applicable law.
Data transfer outside the European Economic Area
The level of protection of personal data outside the European Economic Area (EEA) differs from that provided by European law. For this reason, the Administrator transfers personal data outside the EEA only when necessary and with an appropriate level of protection.
The period of personal data processing
The period of data processing by the Administrator depends on the type of service provided and the purpose of processing. The period of data processing may also result from the provisions, if they constitute the basis for processing. In the case of data processing based on the Administrator’s legitimate interest – e.g. for security reasons – the data is processed for a period enabling its implementation or until an effective objection to data processing is submitted. If the processing is based on consent, the data is processed until it is withdrawn. If the basis for processing is necessary to conclude and perform the contract, the data will be processed until its termination.
The period of data processing may be extended if the processing is necessary to establish, pursue or defend against possible claims, and after this period, only if and to the extent required by law. After the expiration of the processing period, the data is irreversibly deleted or anonymized.
Submitting requests related to the implementation of rights
An application regarding the exercise of the rights of data subjects can be submitted:

The application should, if possible, precisely indicate what the request concerns, i.e. in particular:

Changes to the personal data processing policy
The policy is reviewed on an ongoing basis and updated if necessary. The current version of the Policy was adopted on May 1, 2023.
